How to set up memberships and class packages on Timeo (step-by-step guide)

A complete guide to memberships and class packs on Timeo: plan design, how sessions are checked and spent, queued renewals, and shareable packages.

This guide sets up memberships and class packages on Timeo end to end: designing the plans, selling them online and at the front desk, how sessions are counted, and what members see in the app. It applies to gyms, Pilates and yoga studios, swim schools, spas, and salons alike.

1. Decide what you are actually selling

Almost every membership business sells some mix of three shapes, and Timeo models each one directly:

  • Count-based packs (10 classes, 5 massages, 8 PT sessions): a total session count with an optional expiry date.
  • Time-based memberships (monthly unlimited, 12 months): valid until an expiry date, no counting.
  • Hybrids: a count AND an expiry, whichever runs out first.

2. Create the plans

In your dashboard, create each plan with its name, price, session count (or unlimited), and validity period. These become what members can buy from the app and what your front desk sells in two taps. Prices are shown upfront; payment is online (FPX, DuitNow QR, card, e-wallet) or at the counter.

Optional: activate later

A package can be sold now and activated later, useful for pre-sales and gifts. It sits dormant, excluded from expiry and session counting, until your staff activates it, at which point its validity period starts fresh from that day.

Optional: shareable packages

On the Advance plan a package can be marked shareable, letting the owner share sessions with a partner or friend. Nothing existing becomes shareable by accident: you opt each plan in deliberately, and staff can make a one-off exception on a single customer’s package when goodwill calls for it.

3. Understand how sessions are counted

This is the part members will hold you to, so Timeo is strict about it:

  • Booking a class checks the pack, it does not spend it. A member needs a usable pack, their own or one shared with them, to reserve a seat. The seat is held without taking a session, so a cancelled booking never leaves anyone short.
  • Sessions come off when they are used.A coach logging a session against a member’s PT pack takes one off at that moment, and staff can adjust a pack from the customer record. Where a session is taken at booking time, for guest seats booked on a member’s pack or under the rule below, a staff cancellation refunds it automatically.
  • Repeat cancellers can be made to pay up front. An optional rule, off by default: once a member has self-cancelled three times in 30 days (both numbers are yours to change), their next reservations take a session from the pack at booking rather than holding a free seat. Studio-initiated cancellations never count against the member.
  • Renewals queue: a pack bought before the current one runs out starts when the current one ends, instead of the two overlapping and short-changing the member.
  • Status is derived, not guessed: whether a pack shows as active, queued, expired, or used up is computed live from its dates and counts, so what the member sees always matches what the desk sees.

4. What the member sees

In the member app, each member sees their packs with sessions remaining and expiry, their upcoming bookings, and their payment history. That transparency quietly removes the single most common front-desk argument: “I’m sure I still had three classes left.”

5. Watch the numbers
