The Timeo tutorial: set up, run, and manage your business step by step
A hands-on walkthrough for new Timeo owners: set up services, staff, and plans, open your booking page, run the day from the calendar, sell at the POS, and close your books, screen by screen.
This is the hands-on tutorial for new Timeo owners: what to click, in what order, from your first login to closing your first day of sales. Keep it open in one tab and your dashboard in the other. For the big-picture overview first, read the getting-started guide.
1. First login: find your way around
After you create your business, you land on the dashboard. The sidebar is your map: Calendar and Customers are where you will spend most of your time, POS is the counter, Reports is the money, Settings is everything else. Timeo seeds a few example services, staff, and bookings so the screens are not empty; a banner offers to clear this sample data once you have real content in.
2. Make the catalog yours
- Services: rename the samples or add your own, with duration and price. These power both the booking page and the POS.
- Staff: add your team under Staff, set each person’s working hours, and invite the ones who need a login. Roles control what they can see (a cashier does not need Reports).
- Products (if you sell retail): add them with variants (size, colour) so the POS can sell them alongside services.
- Plans and packages: monthly memberships, session packs, or punch cards. Set the price, validity, and what each one entitles the member to.
3. Open your booking page
Your public page lives at your store link (share it in your Instagram bio and WhatsApp status). Customers see your services, real availability, and can book without messaging you. Everything they book appears in your Calendar instantly. The full walkthrough is in the online bookings guide.
4. Run the day from the calendar
The calendar is the cockpit. The moves you use daily:
- Add a walk-in: click an empty slot, pick the service and staff, done.
- Reschedule: drag the booking to the new time. A confirm dialog shows the old and new times before anything changes.
- Check out a visit: open the booking and hit Checkout. The services are preloaded into an order; take cash, card, or QR and the visit closes itself.
5. Sell at the counter (POS)
The POS handles everything that is not a booking: retail products, drinks, plan purchases at the desk. Add items to the cart, attach the customer if you want the sale on their history, then take payment. Cash with change, split payments, and part payments all work. Details in the payments guide.
6. Know your members
Every customer has one profile: visits, purchases, packages, remaining sessions, and notes in one place. Members can install the member app to book classes, see their packages, and check in by QR. When someone buys a plan, Timeo tracks expiry and sessions automatically and reminds them before it lapses.
7. Close the day, read the month
- Daily: the Z-report under Reports is your end-of-day cash-up: totals by payment method, ready to match against the drawer.
- Monthly: Reports, Sales shows revenue by day, item, and category for any date range, and the Statement (CSV) download gives your bookkeeper every line sold, itemised for tax. More in the sales statement guide.
8. Settings worth five minutes
- Branding: upload your logo and brand colour; your booking page and receipts pick them up.
- Payments: connect your own gateway so customers can pay online; money goes to your account.
- WhatsApp: connect your business number (scan a QR once) and reminders go out from your own WhatsApp.
- Team roles: give each staff member the least access they need. You can always widen later.
